1.Who we are

These conditions apply to treks organised by Travel to Nepal Pvt. Ltd., Kathmandu, Nepal, registered with the Department of Tourism under no. 46872/083/084 ("we", "us").

2.How booking works

You plan your trek with us on WhatsApp or by email. Your booking is confirmed when we have received your deposit and sent you a written confirmation with your itinerary and price.

3.Prices and payment

Prices are per person in US dollars and depend on group size. What is included and not included is listed on each trek page and in your confirmation.

  • Deposit: 10% of the trek price to confirm your booking

  • Balance: due on arrival in Kathmandu

  • Accepted payment methods: cash or bank wire transfer

4.Changes and cancellation by us

Mountain weather, landslides, closed trails or safety concerns can force changes. Your guide may change the route or turn back if continuing is unsafe. If we cancel before departure, you get a full refund of what you paid us.

5.If you cancel

Please tell us in writing (email or WhatsApp). What you get back depends on how long before your trek starts we hear from you:

Full refund, minus bank charges and any permit costs

Between 72 and 48 hours before your trek

Refund, minus the costs we have already paid for your trek

Less than 48 hours before, or no-show

No refund: the full trek price is charged

6.Early return

If you return early from your trek for any reason, we cannot give a refund. Your guides and porters are still paid for all the days you originally booked.

7.Changes by you

You can change your dates, route or group size free of charge before departure, subject to availability. Extra costs, for example for extra days or permits, are charged at cost.

8.Domestic flight delays and cancellations

Mountain flights in Nepal, for example to Lukla, are often delayed or cancelled by weather. If this happens, you pay for any extra hotel nights it causes.

9.Insurance, health and fitness

Personal travel insurance is mandatory. It must cover emergencies, including trekking at the altitudes of your trek and helicopter rescue. We insure our own guides and porters. You confirm that you are fit enough for the trek you book and tell us about relevant health conditions.

10.Documents and permits

You need a passport valid for at least six months and a Nepal visa. We arrange your trekking permits; you provide passport copies and photos in time.

11.Our responsibility

We plan and run your trek with reasonable care and skill, using licensed guides and trusted local partners such as lodges, drivers and airlines. We are responsible for providing the services listed in your confirmation.

Trekking in the Himalaya has natural risks, including altitude sickness, sudden weather changes, landslides and rough trails. We reduce these risks with acclimatization days, daily health checks and a rescue plan, but we cannot remove them. By booking, you accept these risks.

  • We are not responsible for injury, illness, loss, delay or extra costs caused by events outside our control, such as weather, natural disasters, strikes, political unrest, government decisions, road closures, or flight delays and cancellations by airlines.

  • We are not responsible for problems caused by not following your guide's safety instructions, or by health conditions you did not tell us about.

  • Please keep your money, passport and valuables safe. We are not responsible for the loss of, or damage to, your personal belongings.

  • Emergency costs, such as helicopter rescue, hospital treatment or extra nights, are paid by you or your travel insurance.

  • Where we are responsible, our liability is limited to the amount you paid us for your trek, except where the law does not allow this limit.

12.Complaints

Please tell your guide or our office straight away if something is wrong, so we can fix it on the spot. If you are still not happy, email us within 30 days of the end of your trek.
